Congratulations! Once your deposit has been charged to the card you provided when booking your event, your booking is officially confirmed, and that’s when the fun truly begins. Our Bookings Team will email you a link to your very own personalised My Ultimate Hens portal.

Your portal is designed intentionally to give you everything you need in one beautiful, practical place. It’s available anytime, so you can check details, see key dates and specifics, and stay across your event whenever it suits you.
Your Own Event Hub
While our team works behind the scenes on the thousand moving parts that make your My Ultimate Hens event a success, you have full visibility over the details. We designed it this way on purpose, as we want you to know that you can have access to your event info, that we are across all of the little details, and that you can be across your event as well, while we work behind the scenes to make it amazing. We got you!
Accessing Your Portal
How To Get Onto Your Portal
When your booking is confirmed, you’ll receive an email from fun@myultimate.com.au
To access it, simply:
-Click the URL in the email.
-Log in using your booking number and surname (your booking number is in the same email).
If you cannot find the email, check your spam or junk folder.
Once logged in, your personalised dashboard will display everything you need, including your itinerary, payment details, FAQs, and fun tools to help you get ready for your celebration.
The Home Tab
The Home tab is your launchpad.
This is the screen that displays when you first log in to your portal. Here you’ll find:
Your Booking Overview: At the top you will see your organiser name, booking number, and Final Numbers Due Date.
Steps to Party: A simple timeline showing exactly what happens next, from your confirmation through to the big day.
Helpful Planning Tools: Quick links to Hens Game Ideas, Invite Templates, and our exclusive Spotify playlist.
Countdown Clock: Tracks how many days until your celebration, because watching the countdown makes it even more exciting.
Every part of this tab is designed to reassure you that your event is secure and to show you exactly what’s coming up next.
The Run Sheet
Your Itinerary Tab
This tab is where you’ll see the full confirmed schedule for your hens event. It outlines your entire day, including venues, times, inclusions, and any special notes from our team.
You’ll see each part of your package listed in order, with all the details you need such as:
-Venue addresses
-Arrival times
-What’s included (bubbles, meals, workshops, transport, and more)
-Any practical notes like dress codes, cash bonds, or RSA requirements.
Of course, every event is different, which is why it’s important to read this section carefully so you know the what, where, and when of it all.
This is your official run sheet, your event locked in and ready to roll. We recommend reviewing it carefully and sharing the key details with your guests closer to the event.
The Final Numbers & Details Tab
This tab is all about finalising your event. Your Final Numbers Due Date is shown both at the top of your portal on every tab page.
This tab looks different depending on what stage your booking is in; either before your Final Numbers Due Date, or on or after it.
Before the due date:
You’ll see a reminder explaining when the submission form will open.
You will also see an additional information section here if your event has any specific details we need from you on your Final Numbers Due Date. These can vary depending on your booking but are to be submitted along with your final number details. Examples could include things like a limo drop-off address, the hen’s dress size for a costume we are providing, spa treatment selections, and so on. If your booking requires additional information, you will see it in this tab.
On or after your Final Numbers Due Date
Once it becomes active, you’ll be able to:
-Submit your final guest numbers.
-Provide any special details (such as dietary or mobility requirements).
-Add any extra information needed for your specific inclusions (for example, the hen’s dress size for themed activities).
When you submit your final numbers, your final payment will be due within 24 hours. We recommend collecting payments from your guests one week before your due date to make this step simple and stress free.
This tab is designed to keep everything clear, timed, and easy. You’ll always know exactly what to do and when.
The Pricing & Payment Tab
This is where you’ll find full transparency on your package pricing and payments for the booking and package you have committed to by paying your deposit.
Inside this tab you can:
-View your package pricing.
-See the minimum group size required for your package.
-Track what’s already been paid, including your deposit, with receipt references.
-Use the Final Payment Estimator to get an idea of your final balance before your Final Numbers Due Date, based on how many people are coming.
Once your final numbers are processed, your final payment will be due within 24 hours. The estimator is there to help you plan ahead so you can collect funds from your guests early and stay on track. Once you have submitted your final numbers, this payment tab will update with the specific amounts owing to finalise your booking and the ways to pay (bank deposit, which is fee free, or via credit card with a credit card surcharge).

Each link opens directly to the official resource, so you always have access to the most accurate and up-to-date information. The FAQ tab is designed to make sure you can find answers instantly without waiting on an email reply, because we know you’ve got a party to get excited about while we’re busy working on the thousand things behind the scenes to make your package a success.

When You’ll Hear From Us
Once your booking is confirmed and your portal is live, you’ll hear from our team at key milestones only, because everything else you need is already in your portal.
You can expect to hear from us when:
-Your booking is confirmed (with your portal link).
-Your Final Numbers Due Date is approaching.
-We request your final numbers and details to be submitted via your portal on your Final Numbers Due Date.
-We update your portal with the Final Payment Options so that you can make payment.
-We update your portal with your final confirmation itinerary.
In between, our team is hard at work with the thousand moving parts behind the scenes, coordinating the venues, suppliers, and timings that make your package seamless.
Rest assured, we are busy working on the 1000 behind the scenes things we do to ensure your My Ultimate Hens package is a success when the day to celebrate comes!
The is no need to follow up to check we are still on it, we promise you we are! All of the info for your event is available in your portal, and you can rest assured we’ve got your event handled behind the scenes too.
